The Importance Of An Effective HR System

Business owners and human resource managers are often reluctant to spend money on an HR system, but as time goes on, come to understand that it does make sense. In many organizations, in fact, human resources departments are still stagnating in the past, without appreciating the need for technology at all. Some still see their role as limited to maintaining employee records and documenting holidays, sickness and absence.

In most sectors of business, however, the function of human resources has developed far beyond this. The human resources department has the potential to drive business strategy, and make a dynamic and powerful contribution at the top levels of management. However, in the current climate of austerity, these professionals are under pressure to prove their worth to the business in terms of the bottom line, and to show that the human resources function can align with the other functions to move the business forward in a dynamic way.

One of the most effective ways to do this is to upgrade the technology they use. Until recently, if a human resources section was using technology at all, it simply consisted of a static and rigid database of employee information. Nowadays technology is available that is intelligent and intuitive, with the ability to facilitate change, move processes forward, and generate opportunities. In fact, a modern HR system will itself be seen, not just as a tool, but as an important member of the team in its own right.

Human resources departments that have taken the plunge and implemented this technology have rapidly come to appreciate the benefits. One of these is a massively improved efficiency level. Surveys have shown that staff are saving an average of one day per person per week, which in some companies can equate to up to 3,000 hours per year. The other side of this is that the reduced workload means that staff are freed up to concentrate on more real and meaningful relationships with employees. This is what many of them actually came into the profession to do, but found themselves confined to a purely administrative role. This development has proved immensely effective in helping with motivation and retention of employees, who are without doubt the company’s most valuable asset.

When installing or replacing a human resources technology application, it is important first to identify the features that are required for that company or department. There is an increasing realization nowadays that systems do not need to be a departmental secret, but can and should be accessible to all employees. This not only saves time and work for the team, but makes employees feel empowered and enables them to manage their own files and information. For this to happen, the application must have an intuitive and user-friendly interface that is easy to access and to navigate, and that will encourage employees to use it. Ideally, it should also be a dynamic, not a static, system that can grow and change with the company.

Currently, as businesses are reducing their budgets and laying off staff where possible, human resource professionals are being challenged to demonstrate their value. In the past, they have been held back from doing this by using outdated technology, or no technology at all. A powerful and effective HR system can help them to take their place among the departments that add most worth to the company.
